The Finance and Administration Manager will assist in the maintenance of company accounts and perform a variety of finance and administrative functions. The role reports to the CFO based in Singapore and the Managing Director of the Dubai operations. This position demands strong business partnering and project accounting experience.

Key Responsibilities:  

  • Actively support the EMEA team by providing pricing calculations, business cases & marketing analysis
  • Full responsibility for the income statement for Dubai and UK entities
  • Manage treasury operations, including collections and payment in collaboration with all the stakeholders
  • Liaise with the EMEA team to produce an accurate budgeting & planning process
  • To prepare quarterly management accounts and projections and other relevant report
  • To ensure that appropriate policies are in place, from procurement and tendering processes to managing financial deals requiring third party (bank/Escrow) involvement
  • Full documentation control for project delivery and completion
  • Liaise with Regional HR and be the local point of contact in line with Medical & Travel Insurance, employee files (e.g. EID, staff insurance cards, passport copies) and other confidential documentation
  • Perform all admin tasks relating to government and FreeZone (DMCC) liaison; licensing

Daily Routines

  • Sales order processing and matching of purchase orders
  • Processing/Receipt of purchase orders
  • Raise sales invoice and post supplier invoices, including Support/SLA dated payment control
  • Accounts Receivable follow-up
  • Project cost reconciliation and timely settlement of bills, including setting up payments for release in bank account
  • Other accounting tasks with the use of the NetSuite accounting system
  • To manage personnel procedures in relation to recruitment, training, holidays, appraisals and end of service benefits/calculations, as per UAE laws and regulations

Month-End Routines

  • Reconciliation of monthly bank statements
  • Assist in month end process and balance sheet reconciliations
  • Agree intercompany Accounts Receivable and Accounts Payables

Treasury

  • Provide cash projections for the company
  • Monitor cash flow vs. projections to ensure to targets are followed, report deviations
  • Bank liaison

Administration

  • Ensure compliance with all local regulations including those relating to licensing, registration
  • Implement adequate controls through the line departments to safeguard company assets at the station. Controls include verification, insurance, custodianship, proper utilization and maintenance
  • Payroll processing
  • Checking and processing of expense claims and credit cards

Key requirements:

  • Professional qualification in accounting
  • ERP experience a must; NetSuite experience is an advantage
  • 5-7 years of experience in similar roles with proven business partnering and project accounting experience
